Job Description and Responsibilities :
Summary
The Administrative Assistant will be responsible for performing a wide variety of administrative functions as required by daily operations in the local office.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
• Generic data entry
• Greets and directs visitors to the company
• Answer phones, take messages or fields/answers all routine and non-routine questions.
• Types and designs general correspondence and memos. Proofreads copy for spelling and grammar, making appropriate changes. Responsible for accuracy and clarity of final copy.
• Preparing expense reports
• Process subcontractor invoices
• Update and maintain revenue/cost spreadsheets on a weekly basis in Excel
• Correspond weekly with subcontractors and offsite supervisors to collect weekly billing information
• Handles subcontractor waivers and agreements
• Assists in payroll reporting for production employees
• May also assist with other related clerical duties such as photocopying, faxing, filing and collating

• Microsoft Office proficiency (Emphasis on Outlook and Excel)
• Minimum of 2 years of administrative experience
• Efficient in typing and data entry skills
• Ability to work independently on assigned tasks as well as to accept direction on given assignments
• Must be detail-oriented and possess strong organizational skills
• Ability to multi-task and work in a fast paced environment
• Must possess strong spelling, punctuation, grammar, written, verbal and interpersonal communication skills
• Candidates must be able to pass pre-employment testing (MVR, drug and background)
Education and/or Experience:
Applicant must have minimum of 2 years administrative experience. Billing and payroll experience is preferred, but not a requirement.
