Job Description
Perform administrative and clerical activities and assist with the resolution of local service issues
Process customer invoices
Coordinate the generation and clearing of daily/weekly/monthly reports.
File documents and manage Company records.
Participate in Quality Improvement Teams to limit rework, streamline administrative functions, and enhance the service effort within the location.
Key and approve daily transactions
Participate in annual inventory and closing work, as directed.
Review and approve reports in accordance with minimum job requirements
Penguin Database familiarity preferred
Skills Data entry and organizational skills: Email, excel, word, Adobe and online billing software abilities. Abilities: Ability to interface with all levels of employees and management Ability to work well other employees
Ability to multi-task and work under tight timelines and thrive on day-to-day operational pressure with both excellent managerial expertise and sound people skills
Ensures compliance and documentation of all applicable safety requirements
Oversees the Construction Coordinators in providing direction and oversight for contractors at the worksite
Oversee the project management database including billing/invoicing/timekeeping
Oversight of costs including scope, budgets and scheduling from kick-off through commissioning and final acceptance by customers
Works and resolves issues with the contractor
Analyzes customer and operational needs
Oversight of material warehousing and materials
Responsible for project job cost, maintenance and manpower scheduling
Tracks, compiles, and organizes data related to generating costs, budgets and schedules
Determines and communicates acceptable variances in procedures for specific projects
Identifies new process improvements and technical changes that address customer communication needs
Responsible for timely completion of project completion reports identifying project lessons learned, project cost variances and causes, project schedule variances and causes, project performance accuracy and customer satisfaction
Qualifications:
Understanding of OSP construction operations and a strong background in safety requirements for our industry. Strong interpersonal and computer skills required. Must be a high energy individual with excellent communication skills and ability to manage P&L.
Responsible for scheduling, material ordering and meeting deadlines. This will include managing aerial/underground/optical splice.
Understanding of permit processes, locates and working with municipal agencies and utilities
Demonstrated ability to think pro-actively with excellent problem-solving skills
Proven interpersonal skills and customer focus approach
Ability to manage multiple aggressive RFP and design construction schedules and responses
Familiarity with OSHA and other safety regulations
Established organizational and time management skills
Proficient in Microsoft applications such as Project, Excel, and Word.
Able to consistently meet or exceed deadline expectations
Comfortable in the dynamic atmosphere of a construction organization with a rapidly expanding customer base
Experience managing large capital projects
Capable of managing multiple construction sites and schedules
Adept in understanding and reading construction documents
Proven negotiation skills
Prepared to work outside as well as an office setting
Business development and networking
