Job Description
Position Overview
The Project Coordinator assists and supports the Program Manager, Supervisor and Operations Coordinator on large-scale construction projects throughout the US. This position is responsible for tracking project deliverables, dates, monitoring deadlines, and providing regular and timely reports highlighting variances as they arise. This position also assists with daily administrative activities such as meeting minutes, coordination of customer communications, billing and time-sheet management. The Project Coordinator assists in planning certain aspects of the project, monitoring its progress, coordinating with teams, and communication with subcontractors on an as-needed basis. This position reports directly to the Program Manager.
Duties & Responsibilities
Must have expert knowledge of excel
Coordinate subcontractor relationships and billing under the direction of the Program Manager & Operations Coordinator
Act as liaison between Field Office and Corporate Office to include, client billing, vendor payments, time sheet management
Maintain project contract records and enter daily update into project management tracking system
Coordinate project submittals and process change orders
Conduct industry and project-related research, maintain databases, reconcile data and resolve discrepancies
Prepare and edit numerous simple and complex letters, reports and spreadsheets which may include construction project status reports, running queries, workflow reports, schedules, estimates, budgets, etc.
Maintain and monitor project files, plans, schedules, work hours, budgets, and expenditures
Capture meeting minutes, documenting and following-up on important actions and decisions
Track supply levels and submit purchasing recommendations to project managers weekly
Analyze project risks and opportunities, work with program managers to eliminate obstacles
Provide administrative support, maintain tracking reports for all areas and phases of project
Manage customer complaints and damage claims to adhere to client requirements
Oversee completion of all processes needed in Prism
Oversee 811 Miss dig systems reporting and compile data collection
Monitor and complete forms, training for Safety Program and OSHA inspections and reporting
Other projects or duties as assigned
Requirements
High school diploma or equivalent required; Bachelor's degree in business or related field preferred
Must have expert knowledge of excel
Exceptional verbal, written, and presentation skills with impeccable attention to detail
Ability to work effectively both independently and as part of a team in a fast paced and rapidly changing environment
Competency in Microsoft and G-Suite applications
Ability to work on tight deadlines; excellent time management skills are essential
Experience with Prism and Penguin data preferred
Experience with telecommunications preferred
Basic Math skills and data entry skills
Outstanding organizational and communication skills
Knowledge of forecasting and budget tools
Physical Requirements
Prolonged periods sitting at a desk and working on a computer
May experience long hours of standing and moving
