Telecom and Utility Construction Industry, with a large and diverse customer
base reaching from coast to coast. Our six divisional offices support
operations in most major markets in our North American Foot-print.
Job Description and Responsibilities :
The Administrative Assistant will be responsible for performing a wide variety of administrative functions as required by daily operations in the local office.
Primary Responsibilities:
Greets and directs visitors to the company
Answer phones, take messages and/or answers all routine and non-routine questions
Responsible for accurately typing and creating clear general memo’s and correspondence as required
Prepare expense reports
Process subcontractor invoices
Update and maintain revenue/cost spreadsheets on a weekly basis in Excel
Correspond weekly with subcontractors and offsite supervisors to collect weekly billing information
Handle subcontractor waivers and agreements
Assist with other related clerical duties such as general data entry, photocopying, faxing, filing and collating
All other duties as assigned
Requirements :
Education:
High school diploma plus 2 years’ administrative experience and/or training; or equivalent combination of education and experience
Experience:
Billing experience is preferred, but not required
Efficient typing and data entry skills
Technical Skills:
Microsoft Office proficiency (Emphasis on Outlook and Excel)
Soft Skills:
Highly organized and detail orientated
Ability to multi-task and work in a fast paced environment
Excellent interpersonal and customer service skills
Physical Requirements:
Must be able to pass pre-employment screening that includes background and drug testing
Individuals must have a valid driver’s license and driving record meeting the company policy conditions
Sitting at a desk for 6-8 hours a day
Working on a computer for 6-8 hours a day
