Job Description and Responsibilities :

The Administrative Assistant will be responsible for performing a wide variety of administrative functions as required by daily operations in the local office.

Primary Responsibilities:
-Greets and directs visitors to the company
-Answer phones, take messages and/or answers all routine and non-routine questions
-Responsible for accurately typing and creating clear general memo's and correspondence as required
-Prepare expense reports
-Process subcontractor invoices
-Update and maintain revenue/cost spreadsheets on a weekly basis in Excel
-Correspond weekly with subcontractors and offsite supervisors to collect weekly billing information
-Handle subcontractor waivers and agreements
-Assist with other related clerical duties such as general data entry, photocopying, faxing, filing and collating
-All other duties as assigned

Requirements :

Education:
-High school diploma plus 2 years' administrative experience and/or training; or equivalent combination of education and experience

Experience:
-Billing experience is preferred, but not required
-Efficient typing and data entry skills

Technical Skills:
-Microsoft Office proficiency (Emphasis on Outlook and Excel)

Soft Skills:
-Highly organized and detail orientated
-Ability to multi-task and work in a fast paced environment
-Excellent interpersonal and customer service skills

Physical Requirements:
-Must be able to pass pre-employment screening that includes background and drug testing
-Individuals must have a valid driver's license and driving record meeting the company policy conditions
-Sitting at a desk for 6-8 hours a day
-Working on a computer for 6-8 hours a day
