Job Description and Responsibilities :
The Assistant Project Administrator provides administrative support to their local office as well as Corporate HR, Payroll and Finance. This role will be required to assist with the administration of onsite payroll and human resources functions, invoicing, and financial analysis.
Primary Responsibilities:
-Maintain positive relationships with Corporate and local staff
-Assist local Project Management Team with office management needs
-Assist with preparation of the weekly Revenue Report capturing all revenue for the market
-Assist with the organization and compilation of the data that comprises the weekly Management Report (MR)
-Coordinate with Corporate Human Resources staff to serve as a liaison between Corporate HR and the field
-Responsible for the entry of pre-employment drug testing for potential candidates
-Gather and complete all new hire, PAN, CAN, benefit and termination paperwork
-Collect and submit accurate, non-exempt employee timesheets to Payroll for processing
-Maintain rate sheets for employees and schedule As for subcontractors
-Oversee invoicing related to revenue creation from dailies
-Generate subcontractor invoices
-Complete special projects as required to improve process efficiency and performance
-Perform various administrative duties (faxing/scanning/copying/filing)
-Other duties as assigned
Requirements :
Education:
Associate's Degree with 2 or more years of administrative, accounting, and/or payroll experience or equivalent professional experience
Experience:
-Advanced business and finance administration knowledge
-Basic accounting skills with a high degree of accuracy is preferred
-Bilingual (English/Spanish) preferred, but not required
Technical Skills:
-Computer and Microsoft Office proficiency
-Microsoft Excel proficiency required
Soft Skills:
-Excellent interpersonal and customer service skills
-Highly organized and detail orientated
-Ability to multi-task in a fast paced environment and achieve deadlines under pressure
-Ability to maintain the confidentiality of information and professional boundaries
-Ability to think analytically and apply sound judgment, solve problems, and make effective decisions
Physical Requirements:
-Must be able to pass pre-employment screening that includes background and drug testing
-Individuals must have a valid driver's license and driving record meeting the company policy conditions
-Working on a computer for 6-8 hours a day
-Sitting at a desk for 6-8 hours a day
